Job Description Summary
The Curatorial Assistant and Administrative Coordinator is an invaluable member for the Curatorial Department who assists the Chief Curator and Curator with scholarly projects as well as a variety of project-related administrative tasks, including assistance in planning, research, organization and installation of exhibitions and exhibition-related performances, assistance with catalogs and other print and digital publications, writing didactic labels, press releases, and other copy, and key support of other curatorial projects. This position works closely with the ICA Curatorial Affairs, Development, Marketing, Public Engagement, and Administration departments on various projects. The Curatorial Assistant and Administrative Coordinator reports to the Chief Curator.

Job Description

Job Responsibilities
  • Research - The Curatorial Assistant and Administrative Coordinator assists the Chief Curator and Curator with aspects of research, planning, organization, and realization of current and future exhibitions, creating detailed exhibition checklists, preparing bibliographic and biographical material, obtaining necessary copyrights, assisting with the research and writing of gallery ambassador interpretive text, administering the curatorial side of the loan request process, answering general curatorial inquiries and conducting gallery tours as necessary for visitors, assists in cultivation activities, keeps informed of current activity around departmental interests through gallery and museum visits, publications, and other activities.
  • Department Administration - Assists the Chief Curator and the Curator with scheduling meetings, booking travel, and processing receipts. Works with the ICA and university finance departments to ensure all administrative processes are performed accurately and according to protocol.
  • Exhibition Text - The Curatorial Assistant and Administrative Coordinator assists the Chief Curator and Curator in researching and writing exhibition interpretive texts, maintaining editing schedules from inception through delivery to final approval including writing, editing, formatting, maintaining, and enforcing the ICA Style Guide. Assists in working with internal and external editors, proofreaders, indexers, translators, and others throughout production. Ensures accuracy of information in print and online, as needed. This process involves working closely with the Marketing, Curatorial Affairs, Public Engagement, Development teams and the Director.
  • Communication - Functions as a liaison with other departments within the ICA and with colleagues throughout the university and the field. Assists in organizing and overseeing curatorial cross-departmental meetings including gathering agendas, recording action items, and scheduling. Organizes and disseminates exhibition-related material such as checklists, presentations, and exhibition information packets through digital platforms such as SharePoint and in-person. Conducts talks, walkthroughs, and participates in public programs. Supervision and mentoring of interns and work studies.
  • Book Production - The Curatorial Assistant and Administrative Coordinator assists the Chief Curator and Curator in all aspects of book production working with editors, designers, and production managers to develop workflow, maintain schedules, and ensure accuracy of information from inception through delivery to printer. Key areas include but are not limited to managing the flow of incoming and outgoing texts with internal departments and external freelancers such as editors, proofreaders, indexers, translators, bibliographers, and others, editorial tasks as assigned, onboarding outside partners into the Penn payment system, identifying ISBNs, bar codes, and imprints on jackets, covers, and title pages, working with the Library of Congress to obtain copyright information and Cataloging-in Publication data. Editorial tasks as assigned, including proofreading front and back matter.
  • Artist Performances - Assists the curator overseeing production management for select exhibition public events participating in ideation and then determining and overseeing scope of work, schedule, budget, and implementation. Developing workflow and identifying staffing needs for artist performances, maintaining production schedules from inception through event implementation working closely with the Public Engagement team. 5%

  • Bachelor of Arts and 2 to 3 years of experience or equivalent combination of education and experience is required.
